Our client, a service provider in Conshohocken, is seeking an Executive Assistant. This position will be responsible for assisting in day-to-day activities such as calendar scheduling, expenses, filing, meeting preparation and managing special projects. The ideal candidate has a bachelor's degree and 5-7 years of related experience.

Duties include, but are not limited to:

Perform advanced diversified and confidential administrative duties
Organize and maintain file system, and file correspondence and other records
Answer and screen manager's telephone calls
Collect information needed by managers to arrange conference calls and reports
Assist in the preparation of purchase requisitions and departmental control activities
Schedule the daily functions of the highest levels of management
Prepare memoranda, proposals, presentations, and related materials for projects, staff and other business meetings
Handle highly confidential messages and correspondence
Arrange and coordinate travel schedules and reservations
Prepare expense reports
Compile and type statistical reports
Prepare agendas and meeting materials, reserve and prepare facilities, and record and transcribe meeting minutes
Prepare outgoing mail and correspondence, including e-mail and faxes
Order and maintain supplies, and arrange for equipment maintenance
Consolidate list of projects and action items for department management
Prepare reporting binders on a regular basis and maintains other reference information such as organization lists and director slates


Associate's or Bachelor's degree or equivalent experience
5-7 years of administrative or related experience working with executive level management
High proficiency in MS Outlook, Word, Excel and PowerPoint
Ability to add subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
Highly polished and professional
Ability to manage confidential information
Broad knowledge of corporate operations, polices and a high level of experience, discretion and other general computer skills
Extreme attention to detail
Ability to deal with international client base

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
